Privacy Notice

This notice covers the information we handle when you browse this website, contact us, request a bike rental, make a preliminary tour booking request, or ask for future trip updates. A booking request is not an existing-booking service and does not itself create a payment, invoice, or contract record.

What we collect depends on the form you use. It can include:

• your name, email address, telephone number, message and the tour you ask about;
• bike-rental details, including collection location, dates, time, duration and requested bikes or options;
• booking-request details, including travel dates, party and room details, bike or equipment choices, traveller names, dates of birth, lead traveller contact and address details, and any notes or requests you choose to give us; and
• your name, email address and request to receive future trip updates.

We do not collect your IP address or browser user-agent as part of a stored form submission. We also do not store the Turnstile verification token used to protect forms from automated abuse.

We use this information to answer your enquiry, assess and organise the trip or rental you requested, communicate with you, keep a record of the request and its delivery status, prevent abuse, and operate and improve the website.

The future-updates form currently records a request for our team. It is not an active automated mailing list or a separate newsletter subscriber lifecycle. If we create one in the future, we will explain that activity separately.

Our team primarily handles requests by email. Where needed to respond to or organise a trip, relevant information may be shared with the staff working on the request, relevant tour guides, and through WhatsApp or spreadsheet tools used in our operations. We may use Gmail / Google Workspace and Outlook for email communications.

The website also uses service providers that process information for the functions described above: Neon Postgres for stored submissions, Resend for email delivery, Cloudflare Turnstile for form security, and Vercel Analytics and Speed Insights for website analytics and performance telemetry. The home page can load Vimeo video content. Those services may receive technical information from your browser when their content loads. Our providers and operational tools may process information outside your country.

We share information only as needed for these purposes, to comply with applicable legal obligations, or to protect our rights, visitors, staff and services.

The site attempts to store accepted form submissions in our application database and uses stored records to make delivery attempts by email. Database records are designed to retain contact requests for 12 months, future-updates requests for 6 months, and rental and booking requests for 24 months. At the end of those periods, contact and future-updates submissions are scheduled for deletion; rental and booking submissions are scheduled for irreversible anonymisation. The application runs this retention work daily, so it is an operational schedule rather than a promise that every copy disappears at one exact time.

Email messages and operational copies may remain in the mailboxes, tools or records used to handle a request, and may have different retention requirements. If a separate commercial, financial or legal record is required, it is handled outside the website's form-submission record.

The booking and bike-rental forms can save unfinished drafts in your own browser's localStorage. They contain the information entered in those drafts, stay on your device until cleared or expired, and expire 30 days after the last edit. A successful request removes its draft. These browser drafts are not sent to us unless you submit them.

Our admin views use a server-side cache for submission records. We invalidate it when a submission is changed, deleted or anonymised, but cache invalidation is not the same as physical erasure of every underlying cache byte.

Depending on the privacy law that applies to you, you may have rights to ask for access to, correction of, deletion of, restriction of, or a copy of your personal information, and to object to certain processing. To make a request, contact us at info@bikingincappadocia.com. We may need information to verify the request and will consider it under applicable law.

You can clear a booking or bike-rental draft yourself in your browser's site storage. You can also contact us if you would like us to delete a submitted request earlier where this is appropriate.

We may update this notice when our website or operational practices change. The date at the top shows when it was last updated.
